Connect every invited guest touchpoint for client events

Event agency guest list management becomes easier to evaluate when the guest list, personalised Invitations, RSVP responses, QR Tickets, Check-in activity, guest extras and reports are connected to the same Event. QRGATE is built for invitation-only event operations managed by organisers.

Agencies coordinating corporate, VIP or branded client Events often work across planning, communications and venue-entry teams. The operational question is not only who was invited. Teams also need to know which Guest belongs to which Event, whether an Invitation was sent, what RSVP response was recorded, which QR Ticket identifies the Guest, whether Check-in was accepted and whether assigned extras such as parking, meals or gifts were handled. A connected event-centred data model can reduce the need to reconcile separate operational records. QRGATE supports this invitation-only workflow, while agencies should confirm their specific account, tenant and client-access setup with support@qrgate.org.

What event agencies need from guest list management

A client Event usually involves several operational handoffs: an organiser prepares the invited Guest list, a communications team sends Invitations, a client or producer reviews RSVP information, and venue teams manage entry. If each step is maintained in a different spreadsheet or message thread, the team may have to reconcile changes manually before and during the Event.

  • An Event-specific Guest list created or imported by the organiser.
  • Personalised Invitation communication using Guest and Event data.
  • A clear distinction between RSVP status and actual attendance.
  • Unique QR Tickets connected to the relevant Guest and Event.
  • Event-specific Entry Staff or Self Check-in options for venue entry.
  • Guest-related Extra Items such as VIP parking, meals, gifts or access benefits.
  • Reports and exports based on the underlying Event data rather than a separate manually maintained report.

Why disconnected spreadsheets and invitation records fall short

Spreadsheets can be useful for preparing a list, but they do not by themselves validate a QR Ticket at the entrance, record a Check-in as a business event or keep RSVP and attendance as separate operational states. Copying data between a guest list, invitation tracker, entry sheet and extras list can also create uncertainty about which version is current. For a hypothetical agency managing an invitation-only product launch, an accepted RSVP would indicate a Guest’s response to the Invitation; it would not prove that the Guest attended. The entry team still needs a validated Check-in record.

  • Manual copying can separate the Guest from the Invitation or QR Ticket used at entry.
  • An RSVP list cannot substitute for a recorded Check-in.
  • Notes about parking, meals or gifts can be difficult to query and report consistently.
  • Entry Staff may receive more access than they need if permissions are not scoped to the Event.
  • Post-event reporting becomes a reconciliation exercise instead of a view of the operational data.

How QRGATE connects the client-event workflow

QRGATE is a cloud-based, multi-tenant SaaS platform for invitation-based Events. The Event is the primary business object, and Guest, Invitation, QR Ticket, Check-in, Extra Items and Reports are connected to that Event. The organiser creates or imports the Guest records from a supported Excel format and manages the invited list. Separately, QRGATE’s optional Event Registration module can provide a public Registration Page and Registration Form: a public submission first creates a Registration, and Guest creation follows the documented Manual or eligible organiser-enabled Automatic transfer rules. QRGATE does not provide public ticket sales.

  • Guest records are Event-specific and are created, imported and managed by the organiser.
  • Invitation records connect a Guest with an Event and can use the current Guest data, Event language and documented Event branding settings.
  • QR Tickets provide unique digital identification for a Guest and Event; the QR code itself does not independently decide entry.
  • Check-in applies the platform’s business rules, records the result and keeps actual attendance distinct from RSVP.
  • Extra Items connect event-specific services, entitlements or physical items to Guests and can have tracked statuses.
  • Reports and exports present the underlying business data without becoming a separate source of truth.

The QRGATE modules and how they cooperate

The value for invited guest operations comes from the cooperation between modules rather than from treating each module as a separate agency tool. The shared business model means the same Event and Guest context is used across the workflow.

  • Event: provides the configuration, time zone, language, optional venue and branding context.
  • Guest: holds the organiser-managed, Event-specific invited person record.
  • Invitation: delivers the personalised invitation and supports the RSVP relationship.
  • QR Ticket: identifies the Guest and Event during the entry process.
  • Check-in: validates the entry decision and records the attendance event.
  • Entry Staff: gives authorised event personnel Event-level Check-in access.
  • Data Reader: provides read-only access to permitted Guest information and Extra Items where that role is appropriate.
  • Self Check-in: lets an invited Guest initiate entry through a configured self-service process using the same business rules as staff-led Check-in.
  • Extra Items: tracks assigned or available event-specific services, entitlements or physical items.
  • Reports and Analytics: provide Event dashboards, operational reports and exports where supported by the relevant permissions and technical conditions.

A practical workflow for an invitation-only client Event

The following example describes a possible operating sequence for an agency. It is an operational illustration, not a claim about a dedicated agency workspace or client portal.

  • 1. Create the Event and configure its required details, language and any documented branding or custom fields.
  • 2. Prepare the invited Guest list in the organiser’s source file, then create or import the Event-specific Guest records using the supported Excel process.
  • 3. Review Guest data and configure the Invitation content. Personalised Invitations use the current Event and Guest information and can include the QR Ticket as part of the invitation process.
  • 4. Monitor RSVP responses separately from attendance. An accepted response supports planning, but only a successful Check-in records presence at the Event.
  • 5. Assign relevant Extra Items, such as VIP parking, meals, gifts or access benefits, to the appropriate Guests where the Event requires them.
  • 6. Assign authorised Entry Staff to the Event, applying the least-privilege principle. Use Data Reader access where a team member only needs to view permitted information.
  • 7. At the venue, Entry Staff or an enabled Self Check-in process identifies the Guest. The platform evaluates the Event’s business rules and records the Check-in result.
  • 8. If a supported Check-in operation encounters an internet interruption, Offline Mode can record supported events locally and synchronise them with the central system when connectivity returns.
  • 9. After the Event, use Event reports and exports to review Guest, RSVP, Check-in, Extra Items, staff activity and communication information within the available permissions.

Operational benefits for agency teams

The benefits follow from keeping related records in one Event-centred model rather than from a promise of a particular percentage improvement. A producer can work from the same Guest context as the invitation and entry teams; an Entry Staff member can validate the relevant Event rather than rely only on a static QR image; and the post-event team can use recorded Check-in and Extra Item states instead of reconstructing them from separate files.

  • Fewer manual handoffs between invitation preparation and venue entry.
  • A clearer distinction between invited, RSVP-responded and actually checked-in Guests.
  • More consistent use of Event-specific rules for QR identification and Check-in decisions.
  • Controlled access for Event Administrators, Entry Staff and read-only Data Readers.
  • A structured way to track VIP entitlements and other Guest-related extras.
  • A more traceable post-event review because operational reports use the platform’s business data.
  • Continuity for supported Check-in operations when an internet interruption occurs, subject to the documented Offline Mode conditions.

Agency-specific scope and questions to confirm

QRGATE documents the platform’s Event, Tenant and role-based permission models, but it does not document a dedicated event-agency dashboard, client portal, client approval workflow or agency-specific multi-client workspace. It also does not confirm how a particular agency should separate client operations across accounts, Tenants or Events, whether reporting is available across multiple client Events in the required view, or what operational limits apply to guest-list volume, staff volume and communication sending.

  • Confirm whether your agency can manage the required number of client Events or Tenants from your intended account structure.
  • Confirm how client data should be separated and which Event or Tenant permissions each team member needs.
  • Confirm whether client-specific branding, approval steps, delegated access and reporting views match your operating model.
  • Confirm supported Excel formats, operational volumes and communication limits for your planned Events.
  • Confirm any workflow that is not documented in the Product Brain with support@qrgate.org rather than assuming it is available.

When QRGATE is—and is not—the right category of platform

QRGATE is designed for invitation-only Events where the organiser controls the Guest list. It is not a CRM, public attendee-registration platform, ticket marketplace, payment processor, general project-management system or generic marketing-automation platform. If your agency needs open public sign-up, public ticket sales, a client-facing portal or automatic data import from an external CRM, those requirements are outside the documented QRGATE capability boundary and should be discussed with support@qrgate.org.

  • A strong fit: predefined or organiser-imported Guest lists, personalised Invitations, RSVP tracking, QR Ticket identification, Event Check-in, Guest extras and Event reporting.
  • Review carefully: multi-client account structure, client access, cross-Event reporting, external-system imports and agency approval workflows.
  • Not documented as available: public attendee self-registration, public ticket sales, Apple Wallet or Google Wallet delivery, SMS, WhatsApp, push notifications and API-based delivery integrations.

Perguntas frequentes

What is event agency guest list management in QRGATE?

In QRGATE, it means managing an organiser-controlled Guest list for an invitation-only Event and connecting each Guest with Invitations, RSVP responses, QR Tickets, Check-in, Extra Items and Event reports. The Guest records are created, imported or managed by the organiser. QRGATE also supports optional public Event Registration: a public submission first creates a Registration, and Guest creation follows the documented Manual or eligible organiser-enabled Automatic transfer rules; Registration does not replace the Guest List.

Can an agency create or import a client Event guest list from Excel?

QRGATE documents organiser-managed Guest creation and import from a supported Excel format. If an agency is operating as the organiser for an Event and has the required permissions, this is the documented workflow. The Product Brain does not specify a separate agency client-workspace process, so confirm your account structure and Excel requirements with support@qrgate.org.

Can QRGATE send personalised Invitations to invited Guests?

Yes. The Invitation model connects an Invitation to one Event and one Guest. QRGATE supports personalised Invitation e-mails using Event and Guest data, with documented support for Event language and branding settings. The currently documented communication channel is e-mail.

How are QR Tickets connected to Guest records and Check-in?

A QR Ticket is a unique digital identifier connected to one Guest and one Event. It helps the platform identify the Guest, while the Check-in process applies the relevant business rules and records the entry result. The QR code alone does not independently grant access.

Can agencies assign Event-specific Entry Staff permissions?

QRGATE supports Entry Staff as an Event-level role. Authorised Entry Staff can perform Check-in for the Event, and their activity can be traced through the platform’s audit and reporting models. The specific way an agency should assign staff across client operations depends on its account and Tenant structure, which should be confirmed with support@qrgate.org.

Can QRGATE keep RSVP status separate from actual Event attendance?

Yes. RSVP records a Guest’s response to an Invitation, while Check-in records a presence event at the Event. An accepted RSVP does not by itself prove attendance, so agencies can use Check-in records for the actual entry result.

Can agencies track VIP parking, meals, gifts and other Guest extras?

QRGATE’s Extra Items model supports Event- and Guest-linked services, entitlements and physical items. Examples documented in the Product Brain include VIP parking, meals and gift packages. Extra Item states can support operational handling and reporting, subject to the Event configuration and assigned permissions.

Does QRGATE provide public attendee registration or ticket sales?

QRGATE supports optional public Event Registration, but it is separate from the Guest List. A public submission first creates a Registration, and Guest creation follows the documented Manual or eligible organiser-enabled Automatic transfer rules. QRGATE does not provide public ticket sales.
