Multi-attendee event registration becomes difficult when one person submits information for several others but the operational system treats the submission as one contact record. Names, e-mail addresses, answers, statuses and capacity usage can then become difficult to reconcile. Later, the team may also struggle to connect each person with the correct Invitation, RSVP, QR Ticket and Check-in history.
A reliable group event registration workflow separates the Registration Contact, Registration Group and individual Attendee Registration records. QRGATE’s optional Event Registration module supports this structure before eligible attendees are transferred to the organizer-managed Guest List. The result is a controlled path from group intake to individual Guest operations, without treating a public submission as automatic admission.
The operational problem: one contact, several participants
Imagine a hypothetical company event where an administrative coordinator registers five employees. The coordinator is the person who verifies the Registration Contact e-mail and manages the group, but the five employees are still five different participants. If their information is stored only as one shared submission, the event team may not know who selected which option, who provided which answer or which person should receive a later event communication.
- A single contact submission can make several people look like one unclear record.
- Shared or copied e-mail details can make identity resolution harder.
- Group size can be misunderstood if the team counts submissions instead of attendees.
- Later Guest operations require each participant to be represented individually.
Why this matters to guests and event teams
The issue is not only database structure. Guests expect their own names and details to be handled correctly, while event teams need an operational view that supports review, eligibility and entry preparation. If individual identity is lost during intake, the team may need to reconcile a spreadsheet, e-mail thread and Guest List before it can continue the event workflow. A participant may also need to take over their own registration later. For example, a colleague initially added by a coordinator may need to confirm or manage their personal details. That handoff is difficult when the group has been represented as one undifferentiated record.
- Guests can receive unclear or incorrect follow-up if participant records are not separated.
- Organizers may have to match names, answers and statuses manually.
- A later transfer to the Guest List can become harder to review safely.
- Entry teams need individual Guest and QR Ticket records rather than a group count alone.
Why common spreadsheet workarounds fall short
A spreadsheet can be useful for planning, but it often requires the team to create its own group IDs, attendee rows, verification columns, approval states and transfer markers. It may also require separate manual steps to connect each person to an Invitation, RSVP, QR Ticket and Check-in process. For a hypothetical agency managing several client events, copying group details across worksheets can create ambiguity: one row may represent the Registration Contact, while other rows represent attendees. Without a controlled relationship between those records, updates can be missed or duplicated. A spreadsheet also does not by itself apply QRGATE’s documented Registration eligibility, duplicate conversion or Guest List rules.
- One shared row is not enough to represent several individual attendees.
- Separate rows still need a reliable group relationship and conversion state.
- Manually copying data into downstream event tools increases reconciliation work.
- A spreadsheet does not automatically distinguish Registration from Guest admission.
How QRGATE preserves individual attendee identity
QRGATE uses a Registration Group to connect a verified Registration Contact with one or more Attendee Registration records for the same Event. The Registration Contact can manage the group under the documented workflow, while every participant remains a separate attendee record. Each Attendee Registration can retain its own standard details, custom answers, Registration status, calculated price snapshot and Guest List conversion state. This means the group relationship is visible without replacing individual identity. If an attendee later verifies their own e-mail through the secure self-claim process, they can take over management of their personal Registration while the Registration Contact continues to see that the person belongs to the group.
- The Registration Contact is distinct from the people registered on their behalf.
- Every participant has a separate Attendee Registration record.
- Attendee-level answers and calculated price snapshots remain associated with the relevant person.
- Existing attendee e-mail addresses do not create a second attendee Registration within the same Event.
- Self-claim gives an attendee personal management of their Registration before Guest List transfer.
How the QRGATE modules cooperate after registration
The modules work in stages rather than collapsing registration and admission into one action. Event Registration is the intake and eligibility layer before the Guest List. Once an attendee is eligible, the organizer can use Manual Guest List transfer, which is the default, or enable Automatic Guest List transfer for eligible Registrations. After transfer, each attendee becomes a separate Event-specific Guest linked to their original Registration. The normal Guest lifecycle can then continue through Invitation, optional RSVP, QR Ticket and validated Check-in. Transfer does not automatically send an Invitation, and a QR Ticket is not created as a substitute for the Registration QR code used to share the public form.
- Event Registration collects and structures attendee information before Guest List entry.
- Registration Contact and Registration Group preserve the connection between the coordinator and participants.
- Guest List transfer creates an individual Guest/Ticket record for each transferred attendee.
- Invitation remains a separate organizer workflow after transfer.
- Each resulting Guest can have their own Invitation, RSVP state, QR Ticket and Check-in history.
A practical multi-attendee registration workflow
The following workflow can help a corporate event team, association or agency keep group intake organized. The exact transfer decision remains with the organizer and the Event’s configured policy.
- Enable the optional Event Registration module for the Event and configure the Registration Form, timing and maximum attendee capacity.
- Share the Public Registration Page or its Registration QR code. A Registration Contact starts the group process and verifies their own e-mail address.
- Add each participant as an individual Attendee Registration rather than combining several people into one name or answer set.
- Review attendee names, contact details, custom answers, Registration status, verification basis and Guest List conversion state.
- If appropriate, let an attendee self-claim their personal Registration by verifying their own e-mail. Contact verification does not verify every attendee’s own e-mail address.
- In Manual mode, review and approve eligible attendees, then use Add selected to Guest List. In Automatic mode, the organizer-enabled policy can transfer eligible Registrations after the documented checks are met.
- Confirm that each transferred attendee appears as a separate Guest linked to their Registration. The public Registration editing lock applies after transfer.
- Send Invitations as a separate organizer action, then use optional RSVP, QR Ticket and validated Check-in workflows for each Guest.
Benefits of keeping group and attendee records separate
The main benefit is operational clarity. A Registration Contact can coordinate several participants without forcing the event team to treat the group as one person. Individual answers, statuses and conversion states remain available for review, while the Registration Group preserves the relationship between the participants. This structure also makes capacity planning more accurate. QRGATE measures Registration capacity by attendee count, not by Registration Group count. If one Registration Contact adds five people, the Event uses five attendee places. The Registration admin view and supported Registration Excel export can then help the team review attendee-level information and custom answers.
- Individual identity is preserved from intake through Guest List transfer.
- The team can distinguish the Registration Contact from each participant.
- Capacity reflects the number of attendees rather than the number of groups.
- Attendee-level export data can include standard fields, custom answers and conversion information.
- The Registration-to-Guest relationship remains available after transfer.
Prerequisites, limitations and points requiring care
Group registration works best when the organizer defines the Event’s intake and transfer rules before sharing the public page. Registration is optional, and a public submission is saved first as a Registration rather than becoming an immediate Guest or granting admission. A verified Registration Contact provides a supported verification basis for contact-added attendees, but this does not mean that every attendee’s own e-mail address is verified. An attendee can self-claim later by verifying their own e-mail. Manual transfer is the default; Automatic transfer must be enabled by the organizer and applies only to eligible Registrations. QRGATE also does not process payments. Informational pricing, calculated amounts and external payment instructions are not payment collection.
- Registration is separate from Guest List admission, RSVP and Check-in.
- Guest List transfer does not automatically send Invitations.
- Capacity is counted per attendee; New and Approved attendees use normal capacity, while Rejected and Waitlist attendees do not.
- A converted Registration cannot be converted again, and public Registration editing locks after transfer.
- Automatic waitlisting, payment processing and public ticket sales should not be assumed.
- For a product requirement not documented in the Product Brain, contact support@qrgate.org rather than relying on an unsupported assumption.
Perguntas frequentes
Can one Registration Contact register multiple attendees for the same Event?
Yes. A verified Registration Contact can create or manage a Registration Group and add multiple attendees for the same Event. Each person is saved as a separate Attendee Registration record.
Does each person in a group registration have a separate attendee record?
Yes. Every attendee has an individual Attendee Registration with their own supported details, answers, status, calculated price snapshot and Guest List conversion state. They become separate Guests only after eligible transfer to the Guest List.
Does verifying the Registration Contact verify every attendee’s e-mail address?
No. Registration Contact verification confirms the contact’s own e-mail and can provide a verification basis for contact-added attendees. It does not verify each attendee’s personal e-mail address.
Can an attendee claim and manage their own Registration later?
Yes. An attendee added by a Registration Contact can use a secure link sent to their own e-mail address and verify e-mail ownership. After successful self-claim, the attendee becomes the primary public editor of their personal Registration until Guest List transfer locks public editing.
Do multiple attendees automatically become separate Guests?
Not simply because they were submitted. In Manual mode, the organizer reviews and transfers eligible attendees. In Automatic mode, the organizer must first enable the policy, and only eligible Registrations are transferred. Each transferred attendee becomes a separate Guest linked to their Registration.
Are Invitations sent automatically when attendees are transferred to the Guest List?
No. Guest List transfer does not automatically send Invitations. After transfer, the organizer can continue with the normal Invitation workflow for each Guest.
Is registration capacity counted by group or by attendee?
Capacity is counted by attendee. If one Registration Contact registers five people, those five attendees use five places, not one group place. QRGATE’s documented normal capacity calculation counts New and Approved attendees, while Rejected and Waitlist attendees do not use normal capacity.
Does QRGATE process payments for group event registration?
No. QRGATE can support informational pricing, including a base price, currency, organizer-defined price suffix and answer- or option-based adjustments. It can calculate and store an attendee-level price snapshot, but it does not process payments, settle transactions or sell public tickets.
