Custom attendee data collection

Build an event registration form around the questions your team actually needs

A configurable event registration form helps organizers collect more useful attendee information than a standard name-and-email form. QRGATE’s optional Event Registration module supports structured custom questions, clear field settings and dynamic Registration Excel export while keeping every attendee submission connected to its Registration record.

When comparing event registration form software, look beyond the number of fields. The practical questions are whether you can collect the information specific to your Event, distinguish required questions from optional ones, keep answers consistent, and use the resulting data in your operational workflow. A short-text field may be suitable for a job title, while a Yes/No question may be better for parking requirements and a multiple-choice question may capture a selected programme or package. A useful builder should support these differences without forcing every answer into free text or a spreadsheet maintained separately from the registration record.

QRGATE provides this capability within its optional Event Registration module. The form is part of an Event-specific public Registration Page. It creates Registration data first; it does not by itself create an admitted Guest, sell a public ticket or process a payment.

What to evaluate in an event registration form builder

A form builder is useful when it gives event teams control over both the questions and the resulting data structure. Before choosing software, check whether it supports the field types your Event requires, whether organizers can control field visibility and obligation, and whether answers remain associated with the individual attendee who submitted them.

  • Standard attendee fields for identity and contact information, such as first name, last name, e-mail, phone, company, position and comment.
  • Custom questions that match the Event rather than relying on one generic notes field.
  • Required and optional settings so essential information is requested without making every question mandatory.
  • Help text and controlled sort order so attendees understand what to provide and see questions in a logical sequence.
  • Attendee-level Registration records and an export that includes custom answers for operational review.

Configure standard fields and custom event registration questions

QRGATE’s Registration Form Builder works alongside standard Registration fields. Organizers can configure the standard attendee information needed for the Event and add targeted custom questions for additional data collection. Optional billing information can also be requested where the Event requires it, although collecting billing information does not make QRGATE a payment processor.

  • First name and last name
  • E-mail address and phone number
  • Company and job title or position
  • Comment
  • Optional billing information, when enabled
  • Custom questions with a label, help text, status and display order

Supported event registration question types

The documented QRGATE question types cover common structured attendee data collection needs. Choice-based questions can contain multiple options, allowing organizers to present a controlled set of answers instead of asking attendees to type the same information in different ways.

  • Short text for concise answers such as a role, reference or short preference.
  • Long text for additional information that needs more space.
  • Yes / No for a clear binary response.
  • Single choice when the attendee should select one option.
  • Multiple choice when more than one option may be selected.
  • Checkbox for a supported selection or confirmation field.

Make questions required, optional and easier to understand

A custom event registration form should be clear for both the organizer and the attendee. QRGATE supports Label and Help text settings for documented fields and custom questions. Organizers can also configure Enabled or Active status, Required or Optional status and sort order. This gives an event team a practical way to separate essential information from useful-but-not-essential details. For example, a hypothetical corporate event could make company and dietary information required while leaving a long-text question for additional requests optional. The team can then place identity questions first, operational questions next and supplementary questions later in the form.

  • Use a clear Label to describe the information being requested.
  • Add Help text where an attendee may need context before answering.
  • Keep a field Enabled or Active when it should appear in the form.
  • Mark only operationally necessary questions as Required; leave others Optional.
  • Set the Sort order so the form follows the attendee’s natural completion path.

Keep every answer connected to the attendee Registration

The value of structured questions is not limited to the public form. QRGATE stores custom questions and answers as structured Registration data linked to the relevant Attendee Registration. This means an answer remains associated with the attendee submission rather than becoming an isolated note or an untraceable spreadsheet cell. For a hypothetical conference, an organizer might ask which programme an attendee plans to join, whether parking is required and whether additional information is needed. Each attendee’s answers can remain connected to that person’s Registration record, making the data easier to review alongside identity, verification state, Registration status and Guest List conversion state.

  • Review custom answers in the context of the individual Attendee Registration.
  • Avoid relying on inconsistent free-text labels for repeated operational questions.
  • Use the Registration list as the source for attendee-level Registration information.
  • Export standard Registration data and custom question answers for supported operational use.

Use dynamic Registration Excel export for operational review

QRGATE supports a dynamic Registration Excel export. Custom questions created in the Form Builder can appear as separate export columns, allowing the exported structure to reflect the questions configured for that Event. This is useful when an operations team needs to review attendee answers outside the Registration list or prepare information for event delivery. The Registration export is distinct from the Guest List export. It represents attendee Registration data, including supported standard and metadata fields and the custom answers associated with each Attendee Registration. It should not be described as a general analytics suite or as an export for every QRGATE view.

  • Custom questions can become dynamic columns in the Registration Excel export.
  • The export can include attendee identity, Registration status, verification state and Guest List conversion state.
  • Calculated Registration price, currency and supported billing information may appear where configured.
  • Multiple-choice answers can be exported in a structured, human-readable format.
  • Use the Registration export for Registration data; use the Guest List workflow for accepted Guests.

How the form builder works within the QRGATE Event workflow

The Form Builder is part of the optional Event Registration module rather than a standalone generic form tool. The Event provides the shared context for Registration settings, the Public Registration Page, the Form Builder, Attendee Registrations and the Registration Excel export. After an eligible Registration is transferred to the Guest List, the downstream QRGATE workflow can continue with Guest, Invitation, optional RSVP, QR Ticket and validated Check-in. These stages cooperate, but they are not automatically collapsed into one action. In particular, Guest List transfer does not automatically send an Invitation, and Registration submission is not the same as RSVP or Check-in.

  • Event Registration provides the public Registration Page and configurable Registration Form.
  • Attendee Registration stores each attendee’s submission and its custom answers.
  • Registration Excel export makes supported Registration data available for operational review.
  • Guest List receives eligible attendees through Manual transfer by default or organizer-enabled Automatic transfer.
  • Invitation, RSVP, QR Ticket and Check-in remain separate downstream Event workflows.

A practical workflow for building a custom event registration form

A form-building process can remain straightforward when the team starts with the operational decision each question supports. The following example is hypothetical and illustrates the workflow rather than promising a particular event outcome.

  • Create or select the Event and enable the optional Event Registration module.
  • Review the standard attendee fields and decide which are needed for the Event.
  • Add custom Short text, Long text, Yes/No, Single choice, Multiple choice or Checkbox questions.
  • Define each question’s Label, Help text, Enabled or Active state, Required or Optional status and Sort order.
  • Add options for choice-based questions where relevant and configure informational pricing adjustments only if required.
  • Preview the intended attendee journey conceptually, then make the Public Registration Page available through its public URL or a copyable HTML <a> button linking to that URL.
  • Review submitted Attendee Registrations and their answers in the Registration list.
  • Export Registration data to Excel when the operations team needs a structured working file.
  • If the Event uses the Guest workflow, apply the configured Manual or Automatic Guest List transfer rules separately.

Where QRGATE fits—and where it does not

QRGATE is a suitable consideration for organizers, corporate event teams, agencies, associations and venues that need Event-specific Registration data connected to a controlled Guest workflow. It is especially relevant when a team wants more structure than a generic free-text form or a registration spreadsheet can provide. The documented Form Builder supports the listed question types and settings. QRGATE documentation does not establish conditional branching, advanced automation or other form behaviours beyond those settings. If your requirements depend on a specific capability not described here, contact support@qrgate.org rather than assuming it is available. QRGATE’s Registration pricing is informational. The platform can calculate a Registration price from a base price and supported answer or option adjustments, but it does not provide online card payment, payment authorization, settlement, public ticket sales or donation processing. A Registration submission also does not itself grant admission. Eligibility and Guest List transfer rules apply before the normal Invitation, QR Ticket and Check-in workflow.

  • Choose QRGATE when structured Event Registration data and a connected Guest workflow matter.
  • Use Required, Optional, Help text and Sort order settings to control the documented form experience.
  • Do not treat the Registration QR code as a Guest QR Ticket.
  • Do not assume that a public submission immediately creates a Guest or grants entry.
  • Ask support@qrgate.org about product questions not answered by the documented capabilities.
