Medical Conference Registration Software from Registration to Validated Check-In

Use an Event-centred workflow for public attendee intake, verification, controlled Guest List transfer, Invitations, QR Tickets and recorded Event entry—without treating a registration submission as automatic admission.

Medical conference organizers often need more than a registration form. They need to collect structured attendee information, manage capacity, review who can join the Event Guest List and give each accepted attendee a clear path to an Invitation, QR Ticket and validated Check-in. QRGATE brings these stages together in one Event context. The medical conference setting defines the operational use case; QRGATE does not claim medical-sector compliance, CME or CPD management, accreditation tracking or scientific programme management.

What medical conference registration teams need to control

A conference intake process can become difficult to operate when public submissions, accepted Guests and actual Event entry are treated as the same thing. Typical symptoms include a standard name-and-email form that does not capture useful attendee details, group submissions that obscure individual people, capacity counts based on groups instead of attendees, and separate registration, Invitation and Check-in tools that do not share a clear operational lifecycle.

  • Keep a public Registration submission separate from an accepted Event Guest.
  • Collect standard attendee fields and organizer-defined custom questions in a structured form.
  • Count capacity by attendee rather than by Registration Group.
  • Distinguish verification, registration status, RSVP intention, QR Ticket identification and actual Check-in.
  • Give conference teams an attendee-level export containing standard data and custom answers.

Why manual workarounds often fall short

Teams may combine spreadsheets, email threads and an on-site list to manage a conference. A coordinator might copy form responses into a Guest List, maintain a second sheet for capacity, send Invitations from another tool and ask staff to confirm names at the entrance. These workarounds can make it harder to see which record is current, which attendee belongs to a group, whether a person has been approved and whether someone actually entered the Event. They also make it easy to confuse an RSVP response or a readable QR image with a recorded admission decision.

  • A spreadsheet row may not preserve the relationship between a Registration Contact and each individual attendee.
  • A group count can understate the number of places used when one contact registers several people.
  • A public submission is not automatically an accepted Guest or an entry authorization.
  • A QR code scan alone does not decide whether a Guest may enter.
  • Separate systems can force teams to reconcile Registration, Guest, Invitation and Check-in data manually.

How QRGATE connects the medical conference workflow

QRGATE is an invitation-based Event operations platform with an optional Event Registration module. The organizer first configures an Event and its Registration settings, then publishes an Event-branded Public Registration Page. Submissions are saved as Registration records before they can enter the Guest workflow. Depending on the Event policy, the organizer can review eligible records manually or enable automatic transfer for eligible Registrations with the documented verification basis.

  • Configure Registration opens and closes, maximum attendee capacity, public availability display and transfer mode.
  • Publish an Event-specific Registration Page with Event branding, basic details and an organizer-defined information block.
  • Collect standard fields such as name, e-mail, phone, company, position and comment, plus custom questions.
  • Use e-mail verification and secure management links for individual registrations and Registration Contacts.
  • Review Registration status, verification state and Guest List conversion state before or during transfer.
  • Continue from Guest to Invitation, optional RSVP, QR Ticket and validated Check-in as separate stages.

Collect structured medical conference attendee details

The Registration Form Builder lets organizers add custom questions alongside standard fields. For a hypothetical medical conference, a team could use short-text or choice-based questions for information it needs to organize the Event, such as an institution, professional role or participation option. These are organizer-defined questions, not medical-sector eligibility or professional-license validation rules.

  • Use Short text and Long text for organizer-defined attendee information.
  • Use Yes / No, Single choice, Multiple choice and Checkbox questions for structured answers.
  • Set labels, help text, required or optional status, active state and sort order where supported.
  • Keep every answer connected to its individual Attendee Registration record.
  • Export custom question responses as dynamic columns in the Registration Excel export.

Manage capacity and verification before Guest List transfer

QRGATE treats capacity as an attendee count, not a Registration Group count. If one verified Registration Contact adds five attendees, those five people use five attendee places. The system performs the final capacity check on the backend, including protection against concurrent submissions. Organizers can also choose whether the Public Registration Page displays availability, such as a remaining-place message.

  • New and Approved attendees count toward normal capacity.
  • Rejected and Waitlist attendees do not count toward normal capacity.
  • Manual Guest List transfer is the default and keeps approval in the organizer’s workflow.
  • Automatic transfer can be enabled per Event for eligible Registrations only.
  • Self-registration requires the attendee’s own e-mail verification for eligibility.
  • A verified Registration Contact can provide the verification basis for attendees added through that contact, but this does not verify each attendee’s own e-mail.

Register multiple conference attendees without losing individual records

A Registration Contact can verify their own e-mail and add one or more attendees to a Registration Group. QRGATE keeps the group relationship while creating a separate Attendee Registration for every person. This is useful when a company coordinator, association contact or event agency registers several conference participants together.

  • Each attendee has a separate Registration record, custom answers, status and conversion state.
  • Each attendee can later become a separate Guest with an individual Invitation, RSVP, QR Ticket and Check-in history.
  • An attendee added by a Registration Contact can self-claim their own record by verifying their e-mail through a secure link.
  • After self-claim, the attendee becomes the primary public editor of their personal Registration until Guest List transfer.
  • If an e-mail already exists for the Event, QRGATE does not create a duplicate attendee Registration; a secure claim route can be offered instead.

The modules that cooperate from invitation to check-in

The value of conference registration and check-in software is not only the form. The Event provides the shared context for Registration Settings, Registration Groups, Attendee Registrations, Guests, Invitations, RSVP, QR Tickets and Check-in. Once an eligible attendee is transferred, the Guest becomes the operational object for the downstream invitation and entry workflow.

  • Event and Event Registration: define the conference context, form, timing, capacity and transfer policy.
  • Registration and Form Builder: collect standard and custom attendee information.
  • Guest List: hold accepted Event-specific Guest records after controlled transfer.
  • Invitation: send personalized Event and Guest information by e-mail, with QR Ticket access and optional RSVP interaction.
  • RSVP: record Pending, Attending or Not attending participation intention when enabled; it is not proof of attendance.
  • QR Ticket and Check-in: identify the Guest/Ticket and apply Event business rules before recording an accepted or rejected entry.
  • Entry Staff and Self Check-in: support staff-assisted or Guest-initiated Check-in within the central Event workflow.

A practical medical conference registration workflow

A typical workflow can be configured around the way your conference accepts participants. The following example uses a public registration route with controlled approval, while preserving the option to use an organizer-managed Guest List or supported Excel import for people already known to the team.

  • 1. Create the Event and add date, time, venue, branding, access information and Guest-facing language settings.
  • 2. Enable the optional Event Registration module and configure opening and closing times, attendee capacity and optional public availability.
  • 3. Add the Registration Information block and build the form with standard fields and custom questions.
  • 4. Publish the branded Public Registration Page, distribute its URL or Registration QR code, or place a copyable HTML <a> registration button on a website.
  • 5. Receive individual or group submissions. The submission is saved as a Registration before verification is complete.
  • 6. Use the documented e-mail verification basis. A Registration Contact can register multiple attendees; individuals can verify or later self-claim their own record.
  • 7. In Manual mode, review eligible records, set the appropriate status and use Add selected to Guest List. In Automatic mode, QRGATE can transfer eligible verified Registrations according to the organizer-enabled policy.
  • 8. Send the separate personalized Invitation e-mail. Transfer to the Guest List does not send an Invitation automatically.
  • 9. If RSVP is enabled, collect the Guest’s current participation intention. Then provide the individual QR Ticket through the Guest-facing workflow.
  • 10. At the venue, authorized Entry Staff or a supported Self Check-in workflow initiates entry. QRGATE validates the Event and Guest/Ticket context and records the Check-in result.
  • 11. Use supported operational views and Excel exports for Guest, Registration, Check-in and relevant Extra Item information. Supported Check-in operations can continue during a temporary connection interruption and synchronize later where the documented Offline workflow applies.

What to confirm before choosing the platform

QRGATE is a strong fit when your medical conference needs an Event-centred registration layer connected to a controlled Guest List and a later invitation-to-entry workflow. It also supports the existing organizer-managed route: teams can create Guests manually or use supported Excel import even when Event Registration is enabled.

  • Confirm whether your process needs Manual approval or organizer-enabled Automatic transfer for eligible Registrations.
  • Decide which attendee information should be standard fields and which should be custom questions.
  • Define whether Registration Contact group registration is appropriate for company, association or agency submissions.
  • Treat calculated prices as informational registration pricing only. QRGATE does not process card payments, settle payments or operate public ticket sales.
  • Remember that the Registration QR code links to the Public Registration Page; it is not a Guest QR Ticket or entry credential.
  • QRGATE documentation does not confirm CME or CPD credit management, accreditation tracking, abstract submission, speaker management, medical institution verification, professional-license validation, healthcare certifications or regulatory guarantees.
  • If you need a capability not documented in the Product Brain, contact support@qrgate.org rather than assuming it is available.

Perguntas frequentes

Can QRGATE handle medical conference registration before attendees become Guests?

Yes. Event Registration is an optional Event-level module. A public submission is first saved as an Attendee Registration. It can become a Guest only after the documented verification and eligibility rules are met through Manual transfer or an organizer-enabled Automatic transfer policy.

Can a medical conference Registration Form include custom attendee questions?

Yes. The Form Builder supports Short text, Long text, Yes / No, Single choice, Multiple choice and Checkbox questions, with supported settings such as labels, help text, required or optional status, active state and sort order. Answers remain connected to the individual Attendee Registration and can appear as dynamic columns in the Registration Excel export.

Can one Registration Contact register multiple conference attendees?

Yes. A verified Registration Contact can create a group Registration containing multiple attendees. Each person remains a separate Attendee Registration and can later have an individual Guest, Invitation, RSVP, QR Ticket and Check-in record.

Does every public Registration submission immediately become a Guest?

No. Registration and Guest are separate stages. In Manual mode, the organizer reviews and transfers eligible records. In Automatic mode, the organizer must first enable the policy, and only Registrations with the documented verification basis and eligibility can be transferred. Transfer does not itself authorize entry.

Can organizers set a maximum attendee capacity for a medical conference?

Yes. QRGATE supports a maximum attendee capacity and counts attendees rather than Registration Groups. New and Approved attendees use normal capacity, while Rejected and Waitlist attendees do not. The final capacity check is performed on the backend, and public availability display is optional.

Does QRGATE process medical conference registration payments?

No. QRGATE can calculate and display an informational registration price using a base price, currency, organizer-defined suffix and supported answer or option adjustments. It does not provide online payment processing, payment authorization, settlement, invoice payment collection or public ticket sales.

What happens after an eligible Registration is added to the Guest List?

The attendee becomes an Event-specific Guest linked to the original Registration, and public Registration editing is locked. The organizer then follows the separate Guest lifecycle: Invitation, optional RSVP, QR Ticket and validated Check-in. An Invitation is not sent automatically when the transfer occurs.

Is the Registration QR code the same as a Guest QR Ticket?

No. The Registration QR code points to the Public Registration Page and is used to distribute the registration link. A Guest QR Ticket is a separate, Guest- and Event-specific identifier used in the later Check-in workflow. A QR scan alone does not make an entry decision.
