What to evaluate before choosing medical conference registration software

A medical conference registration platform should be assessed as an end-to-end attendee workflow, not only as a form builder. Use this checklist to compare public intake, custom questions, capacity, verification, Guest List transfer, Invitations and validated Check-in.

Choosing medical conference registration software involves more than checking whether a platform can collect a name and e-mail address. Your team may need to publish an Event-specific registration page, capture structured attendee information, manage capacity by person, review verification states, register several attendees through one contact and move eligible records into an operational Guest List. The workflow may then continue through Invitations, RSVP, QR Tickets and Check-in. This medical conference registration software checklist gives organizers, professional congress organizers, associations, corporate healthcare teams, agencies and venues a practical way to compare those requirements. It also separates registration capabilities from medical-conference requirements that need independent validation.

1. Start with the complete conference registration workflow

Begin by mapping the journey from first attendee contact to recorded Event entry. A platform may offer an attractive registration form but still leave your team exporting data, re-entering guests, sending invitations from another system or checking people in against a disconnected list. Ask vendors to demonstrate the full workflow using a realistic conference scenario.

  • Can the platform create an Event-specific public registration page with the conference branding and core Event information?
  • Does a submitted form remain a distinct Registration record before it becomes an accepted operational Guest?
  • Can organizers review eligibility and transfer selected attendees to the Guest List?
  • Can the same Event continue from Guest List to Invitation, optional RSVP, QR Ticket and validated Check-in?
  • Are registration status, verification state and Guest List conversion state visible to the operations team?

2. Check the Public Registration Page and medical conference registration form

The public page should give prospective attendees enough context before they submit information. Look for Event branding, date and time details, a configurable information block and clear feedback when a submission is saved, rejected or requires further action. The form should support the information your team actually needs, rather than forcing staff to store important details in free-text notes or separate spreadsheets.

  • Event branding, name, date, time and relevant conference information on an Event-specific page.
  • Configurable standard fields such as first name, last name, e-mail, phone, company, position and comment.
  • Custom question types including short text, long text, Yes/No, single choice, multiple choice and checkbox.
  • Field controls for enabled or active state, required or optional status, help text and sort order.
  • A clear distinction between organizer-entered content and system-generated interface text. Do not assume that organizer-entered conference content is automatically translated.
  • A public Registration URL, downloadable Registration QR code and website button HTML based on a normal link.

3. Test capacity management by attendee, not registration group

Capacity is a common source of inaccurate conference planning. A group contact registering five people should use five attendee places, not one group place. Your evaluation should therefore test both an individual submission and a multi-attendee submission near the configured limit. Also check what the public page displays and what happens when several submissions arrive at nearly the same time.

  • Registration opening and closing dates or times.
  • Maximum attendee capacity measured in individual attendees.
  • Server-side enforcement that protects the limit during concurrent submissions.
  • Optional public availability display, such as registered places and remaining capacity.
  • Clear treatment of Registration statuses: New and Approved attendees use normal capacity, while Rejected and Waitlist attendees do not.
  • A documented distinction between capacity control and automatic waitlisting. Do not assume that a platform automatically places people on a waitlist unless it explicitly supports that workflow.

4. Evaluate verification, approval and Guest List transfer

A public submission is not automatically an accepted Guest or proof of admission. The platform should make its attendee verification workflow understandable to both administrators and registrants. Ask which verification basis makes a record eligible for transfer, which actions remain under organizer control and whether the original Registration stays connected to the resulting Guest.

  • Self-registration e-mail verification through a secure management or verification link.
  • A visible distinction between Self verified, Verified Registration Contact and Pending verification.
  • Manual Guest List transfer as an organizer review workflow, including an Add selected to Guest List action.
  • An optional Automatic Guest List transfer mode that the organizer enables at Event level for eligible Registrations.
  • Protection against duplicate Registration-to-Guest conversion and duplicate attendee e-mail identity within the Event.
  • A public editing lock after an attendee has been added to the Guest List, while preserving the Registration as a historical and relational source.
  • A clear statement that Guest List transfer does not automatically send an Invitation and does not itself grant entry.

5. Check multi-attendee and group registration carefully

Medical conferences often involve a company coordinator, association administrator, agency or other contact registering several people. The important question is not simply whether a form has an “add another attendee” button. Each person should retain an individual record, answers and later operational status while the group relationship remains visible to organizers.

  • Event-level control to enable or disable multi-attendee or group Registration.
  • One verified Registration Contact able to register one or more attendees for the same Event.
  • A separate Attendee Registration record for every person in the group.
  • Individual custom answers, Registration status, calculated price snapshot and Guest List conversion state.
  • A secure self-claim path allowing an attendee to verify their own e-mail and manage their personal Registration before transfer.
  • A precise verification explanation: Registration Contact verification can provide a valid basis for contact-added attendees, but it does not verify every attendee’s own e-mail address.
  • An existing-attendee e-mail workflow that avoids creating a duplicate record and can offer a secure access or claim link without exposing registration details publicly.

6. Confirm how Invitations, RSVP, QR Tickets and Check-in cooperate

Registration should connect to the operational conference workflow without collapsing different statuses into one. After an eligible attendee becomes a Guest, the team may need to send a personalized Invitation, collect an optional RSVP, provide a unique QR Ticket and record the actual Event entry. Ask the vendor to show each transition separately.

  • Guest List records created by approved Registration transfer remain connected to their original Registration.
  • Personalized Invitation e-mail using Event and Guest context, branding, QR Ticket access and optional RSVP interaction where enabled.
  • RSVP states such as Pending or No response yet, Attending and Not attending.
  • A unique QR Ticket associated with the Event and Guest or Ticket record.
  • Validated Check-in in which the platform identifies the Guest or Ticket, applies Event business rules and records an accepted or rejected result.
  • A clear explanation that Registration is not RSVP, RSVP is not Check-in and scanning a QR image alone does not authorize entry.
  • Operational views for checked-in and not-yet-checked-in Guests, supported Check-in timing or entry activity, and supported Excel exports.

7. Review exports and the handover to event operations

A conference registration system should preserve useful answers after submission. Ask to see the actual Registration export rather than accepting a general “reporting” description. The export should be attendee-level and distinguish Registration information from the separate Guest List export.

  • Excel export containing standard attendee and registration metadata.
  • Registration Contact, Registered by, verification state, registration date and current Registration status.
  • Guest List conversion state, conversion date or time where supported, and the Registration-to-Guest relationship.
  • Custom questions represented as dynamic export columns with attendee-level answers.
  • Calculated informational price, currency and price suffix where pricing is configured.
  • A clear boundary between Registration export, Guest List export and operational Check-in views.
  • An explanation of which reports are operational views rather than a generic analytics, compliance or business-intelligence suite.

8. Separate supported registration operations from medical-specific requirements

A platform may support the event operations around a medical conference without providing every specialist congress-management function. Include a separate validation track for requirements that are not answered by a general registration and Check-in workflow. Do not treat a custom question as proof that the platform manages the underlying professional or regulatory process.

  • CME or CE credit tracking, accreditation workflows and certificate generation require separate confirmation.
  • Abstract submission, speaker management, scientific programme management and exhibitor management require separate confirmation.
  • Hotel, travel, accommodation and group-booking workflows require separate confirmation.
  • Healthcare-specific privacy certifications, regulatory compliance claims and medical-data governance require separate legal and technical validation.
  • Online payment processing, invoicing settlement and ticket sales are not established by informational registration pricing. QRGATE can calculate and display an informational price and support external payment instructions, but it does not process or settle payments.
  • CRM, marketing automation, third-party integrations and SMS, WhatsApp or push delivery require separate confirmation. For unanswered QRGATE product questions, contact support@qrgate.org.

A practical evaluation workflow for your procurement team

Use the checklist in a live demonstration rather than reviewing feature names in isolation. Create a hypothetical Event with a defined opening date, closing date and attendee capacity. Add several standard fields and custom questions, then test both individual and group registration. Submit records with different verification states, review them in the organizer view and transfer eligible attendees using the documented policy. Finally, follow the resulting Guest records through Invitation, optional RSVP, QR Ticket and validated Check-in.

  • Scenario 1: one person self-registers, verifies their own e-mail and becomes eligible for organizer-controlled transfer.
  • Scenario 2: one verified Registration Contact registers three colleagues, with each colleague retained as a separate attendee record.
  • Scenario 3: a duplicate attendee e-mail is submitted and the system offers secure access without creating a second attendee record.
  • Scenario 4: a submission arrives at the capacity limit and the platform applies its server-side capacity rules.
  • Scenario 5: an approved attendee is transferred to the Guest List, receives a separate Invitation workflow and is later processed through validated Check-in.
  • Score each scenario for data completeness, organizer control, record continuity, status clarity, export quality and fit with your medical-conference-specific requirements.

Perguntas frequentes

What should a medical conference registration software checklist cover?

It should cover the complete workflow: a branded Public Registration Page, configurable Registration Form and custom questions, attendee-based capacity, e-mail verification, individual and multi-attendee registration, Manual or Automatic Guest List transfer, Invitations, optional RSVP, QR Tickets, validated Check-in and exports. It should also identify specialist requirements such as accreditation or CME management that need separate validation.

How should I evaluate medical conference registration software?

Use realistic scenarios rather than comparing feature labels alone. Test an individual registration, a Registration Contact adding several attendees, a duplicate e-mail, a capacity-limit submission and the transfer of eligible records into the Guest List. Then follow the resulting Guest through Invitation, optional RSVP, QR Ticket and validated Check-in.

Can QRGATE collect custom medical conference registration questions?

QRGATE’s optional Event Registration Form Builder supports short text, long text, Yes/No, single choice, multiple choice and checkbox questions. Organizers can configure labels, help text, active or enabled state, required or optional status and sort order. QRGATE does not, based on the supplied product documentation, provide a specialist credential, CME or accreditation workflow.

How does QRGATE handle attendee capacity for conference registration?

Capacity is measured by attendee, not by Registration Group. A Registration Contact adding five attendees uses five places. QRGATE supports Registration opening and closing settings, maximum attendee capacity, optional public availability display and server-side capacity enforcement. Automatic waitlisting is not documented as a production capability.

Can one Registration Contact register several conference attendees?

Yes. When multi-attendee or group Registration is enabled for the Event, a verified Registration Contact can register multiple attendees. Each attendee remains a separate Attendee Registration with individual answers, status and Guest List conversion state. An attendee can later self-claim their record by verifying their own e-mail, subject to the documented editing rules.

How are registrations verified before they are added to the Guest List?

For self-registration, the attendee verifies their own e-mail through a secure link. For contact-added attendees, a verified Registration Contact can provide the documented verification basis for eligibility. Registration Contact verification does not mean that every attendee’s own e-mail has been verified. The organizer can use Manual transfer by default or enable Automatic transfer for eligible Registrations.

Is QRGATE registration the same as RSVP or Check-in?

No. Registration is the attendee intake and eligibility layer before the Guest List. RSVP records a Guest’s participation intention, while Check-in records an accepted or rejected Event entry after the platform applies its business rules. A Registration submission does not itself grant admission, and Guest List transfer does not automatically send an Invitation.

Does QRGATE process registration payments or manage medical conference accreditation?

No payment-processing claim is supported. QRGATE can calculate and display an informational registration price using a base price and answer or option adjustments, and an organizer can provide external payment instructions. Online payment processing, settlement, accreditation, CME or CE credits and certificate generation require separate validation.
